Privacy policy.

This policy explains what personal information we collect, why we are allowed to use it, who we share it with, how long we keep it and the rights you can exercise over it.

Data controller: SourcingGenius LLC Last updated · October 2026

1. Who we are

SourcingGenius LLC (“SourcingGenius”, “we”, “us”) operates this website and is the data controller for the personal information described here. Our postal address is 10 Anson Road, #15-02, International Plaza, Singapore 079903. For any privacy question or request, contact advisory@sourcinggenius.com.

2. What we collect

When you submit a form (RFQ, buyer registration, supplier application or contact enquiry) we collect:

  • The details you enter: company, name, email, phone, country and the content of your message or specification.
  • Files you attach: specifications, drawings, datasheets, catalogues and images, stored securely outside public web access.
  • Technical submission metadata: timestamp, a hashed rate-limiting identifier for your connection and the browser user-agent, kept for spam and abuse prevention.

If you correspond with us by email, we process the content of that correspondence and your email address. When you browse the site we do not run advertising or third-party tracking; we use one functional session cookie (see section 5).

3. How and why we use it (lawful basis)

  • To answer your enquiry and provide the work you request — necessary to take steps at your request and to perform our contract with you.
  • To carry out procurement work — sourcing, verification, coordination and documentation for the requirement you submitted — necessary to perform our contract.
  • To protect our forms and site from spam, abuse and automated misuse — our legitimate interest in keeping the service secure and available.
  • To send you the email you asked for — based on the consent or the business relationship described in section 4.
  • To meet legal, accounting and record-keeping obligations — to comply with the law.

4. Email communications and consent

We send commercial or marketing email only where you have given clear, explicit and provable consent, or where we are replying to a request you made. We do not buy, rent or scrape contact lists, and we never sell your details to third parties. Every commercial message includes a working unsubscribe link, and we honour unsubscribe requests promptly. Our sending domain is authenticated (SPF/DKIM) and each message identifies us accurately as the sender and links to this policy. Full details are set out in our Email, Anti-Spam & Acceptable Use Policy.

5. Cookies and tracking

We set a single functional session cookie (sgpsid) that keeps your form submissions secure through CSRF protection and spam controls. It contains no advertising identifier and is not used to track you across other sites. We load no advertising or third-party analytics unless you are separately notified and consent; where analytics are enabled they are described in this policy at the time they are switched on.

6. Who we share it with

We do not sell your personal information and we do not share it with advertisers. We share it only as needed to run the service, and only with service providers who process it on our instructions under contract:

  • Email delivery providers (for example Mailgun / Sinch Email) that transmit notifications and messages on our behalf.
  • Hosting and infrastructure providers that store the site, its submission records and uploaded files.
  • Procurement counterparties — supplier and product details from applications are shared with buyers on a need-to-know basis in the course of matched enquiries, and buyer requirement details are shared with candidate suppliers only to the extent needed to quote accurately and under the confidentiality terms agreed for that engagement.
  • Authorities where we are required by law to disclose, or to protect our rights and the safety of others.

7. International transfers

We operate internationally, so your information may be processed in a country other than your own. Where personal data is transferred across borders we rely on appropriate safeguards — such as standard contractual clauses or an equivalent lawful mechanism — and we choose providers that offer such protections.

8. How long we keep it

Form data and uploads are stored on the site’s secured server storage in structured submission files, protected from public web access. Enquiries are retained while the relationship is active and archived thereafter as needed for commercial records and dispute resolution. We keep personal data no longer than necessary for the purposes above, and delete or anonymise it when it is no longer needed, subject to legal record-keeping obligations. You may ask us to delete your data at any time (see section 10).

9. How we protect it

Forms are protected with session-bound CSRF tokens, honeypot and timing anti-spam checks, per-connection rate limits and upload validation (type and size). Uploaded files are stored with restricted permissions, and access to submission records is limited to the people who need it to do the work you asked for. Traffic is served over HTTPS where available. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your data.

10. Your rights

Subject to applicable law, you have the right to:

  • Ask for a copy of the personal data we hold about you (access).
  • Ask us to correct inaccurate or incomplete data (rectification).
  • Ask us to delete your data (erasure).
  • Ask us to restrict or object to certain processing.
  • Receive your data in a portable format.
  • Withdraw consent for future contact, including marketing, at any time.
  • Complain to your local data-protection authority.

To exercise any of these rights, contact advisory@sourcinggenius.com. We aim to respond within 30 days. We may need to verify your identity before acting on a request.

11. Children

Our services are intended for businesses and professional use and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with data, contact us and we will delete it.

12. Changes to this policy

If this policy changes materially, the updated version will be published on this page with a new date. Please review it from time to time.
